Position Summary:
The Accountant at Keystone Science School plays a crucial role in maintaining accurate financial operations within a dynamic, mission-driven environment. This position is responsible for managing accounts payable, processing financial transactions, serves as payroll backup and performing general accounting tasks that support the organization's overall financial health.
Working as part of the administrative team, the Accountant ensures that financial records are accurate and up to date, contributing to efficient operations and compliance with financial policies. Attention to detail and strong organizational skills are essential, as this role involves processing payments, reconciling accounts, and supporting financial reporting.
The salary range for this position is from $26.00 - $30.00 per hour for approximately 16 hour per week. The final salary will be determined based on factors such as experience, qualifications, and internal equity.
Key Responsibilities
Accounts Payable
Process and record invoices, ensuring compliance with KSS policies and A/P best practices.
Administer the corporate card and the fleet credit card system, including reconciliation, imports, and portal management.
Train internal staff on A/P procedures.
Resolve billing disputes and outstanding checks, including unclaimed property tracking.
Prepare and file monthly sales tax returns and annual 1099s.
General Accounting & Administration School store inventory and reconciliation to the point of sales.
Managing fixed assets and depreciation.
Submission of the monthly sales tax.
Reconciliation of the payroll payable accounts.
Assist with monthly and yearly close processes, including journal entries and reconciliations.
Identify and correct discrepancies in financial records.
Support Finance Committee meetings (scheduling, note-taking, drafting minutes).
Serves as the backup for payroll processing in the absence of the HR Manager, ensuring timely and accurate employee payments.
Assist with the annual external audit and budget preparation using Excel and Sage.
Qualifications
Skills Proficiency in Excel.
Strong written and verbal communication skills.
Proficiency in Microsoft Office 365, Google Suite, Asana, Slack, and donor database software.
Preferred - Experience in Sage Intacct.
Education, Experience and Certifications Associate's Degree in Accounting or Finance and/or equivalent work experience, defined as:
At least one year of accounting experience with degree, or
At least three years of accounting experience without a degree.
Current First Aid and CPR certification or ability to obtain within 60 days of employment.
Must be able to pass a comprehensive background check.
Physical Requirements Dexterity, auditory and visual acuity to operate computers and phones or mobile devices.
Auditory and visual acuity to interact with guests, sponsors, donors and clients on a daily basis.
Able to work for long periods of time without break during the conduct of presentations and events.
Able to lift 25 lbs. with minimal assistance.
Able to successfully manage multiple, high priority tasks in a fast-paced environment.

Work Schedule and Environment
This position primarily operates in an open office environment, typically within the hours of 9:00 AM to 5:00 PM, with flexibility based on events or business needs.
