TITLE: CIS Activities & Office Administrative Assistant - 12 Month Assignment
Hours: Monday - Friday 7:30 am - 3:30pm
(reduced summer schedule)
Hourly Rate:$18-21/hour

QUALIFICATIONS:
Minimum of a high school diploma or GED equivalent.
Associate's degree or higher preferred.
Knowledge of and experience with technology platforms, including Microsoft and Google applications.
Experience with Skyward Learning Management Systems preferred.
Successful completion of fingerprint based criminal background check (IL State Police and FBI), sex offender and violent youth offender screening, and employment physical.
REPORTS TO: Building Principal and Assistant Principal
JOB GOAL: To ensure the smooth and efficient operation of the school office so that it has a positive impact on the education of children and effectively serves the needs of students, staff, parents and the community in a professional and courteous manner.
The position provides administrative support for the principal/assistant principal. Sensitive and confidential information must be maintained in a fast-paced environment. Good judgment and the ability to prioritize and organize a diversified workload is a necessity.
DUTIES AND RESPONSIBILITIES: Manages team schedules and calendars for practices and competitions.
Works with the officials assigner and athletic director as needed and serves as the point person for the assigner and competing schools.
Coordinates with the district office for payment to officials through the Arbiter pay system.
Coordinates with the district office for payment to ticket takers, scorekeepers and timekeepers.
Coordinates with the district office on cash boxes for tickets and concessions.
Works with the athletic director to manage hospitality room for officials as needed.
Works with school nurse to have medical bags distributed to teams and returned after season.
Serves as manager for concessions which includes purchasing supplies, setup, and ensuring game day workers are scheduled to operate the concession stand.
Communicates on a regular basis with coaches and sponsors.
Ensures athletes and participants are in compliance with all school and IESA rules and bylaws, with specific focus on residency, academic eligibility, physicals, and insurance waivers for participation.
Communicates schedules, updates, and changes with students and parents as needed.
Manages rentals for community events and acts as a liaison between Central 51 and community organizations.
Works with the district office in processing necessary rental forms and billing.
Provides for the planning, scheduling, coordinating, and implementation of school events.
Provides publicity of school activities on social media and District website.
Collaborates with building administrators to support extracurricular and co-curricular activities.
Maintains a list of all CIS sports and activities volunteers and ensures all related volunteer paperwork and requirements are met.
Maintains a campus-wide calendar of events to coordinate campus events (school and community).
Schedules doors for all district events (school and community).
Participates in regularly scheduled meetings with athletic director, principal and or designated administrators concerning student activities.
Establishes and maintains the school's activity calendar that is articulated with the school and district master calendar.
Ensures timely setup and tear down of all district events in collaboration with the facilities director.
Works with the business services director to maintain activities and CIS building budgets.
Works with the facilities director to maintain building security during events, lock down areas, etc.
Works with the Transportation Director to confirm transportation for activities and school trips.
Works with teachers and coaches to set up web store items for parents to pay for school trips and summer sport camps.
Coordinates/orders awards and recognition items for extracurricular and co-curricular activities (trophies, plaques, banners, etc.)
Verifies student eligibility with staff and promptly informs sponsors and coaches of ineligible participants
Performs office routines and practices associated with a busy and productive office.
Serves as a backup to the other administrative assistants when necessary.
Assists the principal and assistant principal with day-to-day operations as needed.
Maintains regular attendance and punctuality to ensure teamwork and the completion of job duties essential to the daily operation of the school.
Performs other related tasks as assigned by the principal/assistant principal and other district office administrators as designated by the superintendent.
Adheres to a professional code of ethics which includes confidentiality of school related matters and loyalty to the school district.
