The Purchasing Agent is critical to ensure the achievement of department objectives, goals by maintaining inventory levels and accurate vendor information in compliance with department requirements.
RESPONSIBILITIES
Costing
Systematically analyze project scopes prior to each build to develop accurate cost projections to aid in budgeting, planning, and staffing considerations
Accurately track all costs of individual materials in each project to determine the final project costs against project projections
Jointly work with project managers on pricing and costs for materials on all change orders
Ordering
Diligently manage all multifamily department purchase orders from each phase of the project and ensure appropriate equipment rentals are coordinated when required
Carefully process all will call orders and tool orders and manage all expense tracking for the multifamily plumbing department and assist with plumbing residential and single-family departments when applicable
Administrative
Expertly assist field engineers with material gaps and work with vendors and suppliers to get specifications sheets and submittal forms in a timely manner
Conscientiously manage multifamily department inventory and resolve all inventory issues including billing and receiving issues
Accurately process returns and credits, track defective material, and consistently communicate with the area project manager about missing parts; approve returns and credits for the plumbing multifamily department
Autonomously process labor recovery funds for the service department when defective material is discovered
Precisely process model home product reimbursements and free purchase order receipt tracking for the model home and service reimbursement
Accommodate the back-up needs of the single family purchasing department
Vendor Management
Assertively source and vet new vendors when needed by ensuring all aspects of the potential partnership are in alignment with project cost, schedule, and quality
Special Projects
Thoroughly track and support the recovery of stolen items from the residential plumbing department
QUALIFICATIONS
Clear, effective communications skills – both written and verbal
Aptitude for prioritizing
Preference for accuracy, attention to detail, and organization
Mastery of entire Microsoft Suite plus Internet and email
Experience with, or ability to learn, Great Plains software
Basic mathematical ability including addition, subtraction, multiplication, and division
Critical thinking skills and ability to problem solve independently
A high school diploma or GED is required,
Associate or Bachelor degree preferred
2 years of experience in purchasing or equivalent work
Well-lighted, heated and/or air-conditioned indoor office setting
Moderately noisy environment with light traffic, office equipment, and guest entrance
Sedentary physical activity performing non-strenuous daily
activities of an administrative nature
No travel required
